At SUM-IT we respect your pri­va­cy. This Pol­i­cy explains when and why we col­lect per­son­al infor­ma­tion about peo­ple who use our ser­vices or vis­it our website.

When do we col­lect infor­ma­tion from you?

We col­lect infor­ma­tion from you:

• when you make an order for our prod­ucts or services

What infor­ma­tion do we collect?

The per­son­al infor­ma­tion we col­lect might include your name, address, email address and tele­phone num­ber. You may also send us your data as part of our ser­vice to you.

Web­site ​‘Cook­ies’

Cook­ies are small files that a site or its ser­vice provider trans­fers to your computer’s hard dri­ve through your web brows­er that enables sites or ser­vice providers to recog­nise your brows­er and to cap­ture and remem­ber cer­tain information.

This web­site uses Google Ana­lyt­ics to help analyse how users use the site. Google Ana­lyt­ics uses ​‘cook­ies’ to col­lect stan­dard Inter­net log infor­ma­tion and vis­i­tor behav­iour infor­ma­tion in an anony­mous form.

The infor­ma­tion gen­er­at­ed by the cook­ie about your use of the web­site (includ­ing your IP address if you have not opt­ed out) is trans­mit­ted to Google. This infor­ma­tion is then used to eval­u­ate vis­i­tors’ use of the web­site and to com­pile sta­tis­ti­cal reports on web­site activ­i­ty for Sum-It.

We will nev­er use the sta­tis­ti­cal ana­lyt­ics tool to track or to col­lect any Per­son­al­ly Iden­ti­fi­able Infor­ma­tion of vis­i­tors to our site. How do we use your information?

We will only use your infor­ma­tion to car­ry out our duties to ful­fil any agree­ments entered into between your­selves and us and to com­ply with our Statu­to­ry Obligations.

By sub­mit­ting your infor­ma­tion to us, while order­ing ser­vices or prod­ucts, you con­sent to SUM-IT pro­cess­ing that infor­ma­tion in con­nec­tion with these ser­vices or prod­ucts and for any oth­er pur­pos­es to which you give con­sent at the time you pro­vide the information.

We hold your per­son­al infor­ma­tion in our secure sys­tems for as long as we need to pro­vide our ser­vices and oblig­a­tions to you and to rem­e­dy any sub­se­quent issues.

By agree­ing to our cus­tomer dec­la­ra­tion when send­ing your dataset to us you con­sent to SUM-IT hold­ing your dataset on our secure sys­tems for as long as is nec­es­sary to com­plete the cur­rent task and to rem­e­dy any sub­se­quent issues.

Who has access to your information?

Your data is only acces­si­ble to staff with­in the SUM-IT organ­i­sa­tion. All SUM-IT staff have read and signed the SUM-IT con­fi­den­tial­i­ty agreement.

We will not sell or rent your infor­ma­tion to third parties.

We will not share your infor­ma­tion with third par­ties for mar­ket­ing pur­pos­es or for any oth­er pur­pose with­out your expressed per­mis­sion. We will only share your infor­ma­tion with our part­ners for the pur­pose of pro­vid­ing war­ran­ty ser­vices for the hard­ware pro­vid­ed to you by SUM-IT.

Using SUM-IT Soft­ware to send Emails

To be able to use the email­ing facil­i­ty from SUM-IT soft­ware, the pro­gram stores cer­tain infor­ma­tion per­ti­nent to your email account with­in your dataset. There are two dif­fer­ent ways you can allow access to your email account to allow the send­ing of emails on your behalf and each method requires access to dif­fer­ent information:

1. OAuth2

Your SUM-IT soft­ware will access and store:
• Your email address
• Tokens from your email provider that allow the soft­ware to make an autho­rised email send from your account

2. SMTP (Sim­ple Mail Trans­fer Pro­to­col)

Your SUM-IT soft­ware will access and store, as sup­plied by you:
• Your email address
• Your email account user name and pass­word
• Your email service’s SMTP serv­er name

The data out­lined above is stored with­in your per­son­al dataset and is not held cen­tral­ly by SUM-IT. It is retained with­in your dataset until you choose to remove it which can be done at any time via the Total program.

We do not access, store or share any oth­er infor­ma­tion per­tain­ing to your email account.

Con­tact

We will only occa­sion­al­ly con­tact you to keep you abreast of our lat­est devel­op­ments in our soft­ware and ser­vices, invite you to train­ing cours­es on SUM-IT ser­vices or to noti­fy you of our atten­dance at shows.

Clear­ly SUM-IT will respond to emails you send to us. SUM-IT will only ini­ti­ate an email cor­re­spon­dence to you to pro­vide our ser­vices, to rem­e­dy any sub­se­quent issues or to meet our oblig­a­tions to you

Updat­ing your information

If you change email address, or any of the oth­er infor­ma­tion we hold becomes inac­cu­rate or out of date, please email us at: email hidden; JavaScript is required.

Secu­ri­ty pre­cau­tions in place to pro­tect the loss, mis­use or alteration

When you give us per­son­al infor­ma­tion, we take every step to ensure that it is treat­ed secure­ly with­in our sys­tems. Sen­si­tive infor­ma­tion is encrypted.

This Pol­i­cy was last updat­ed on 9^th April 2025 and we will keep the pol­i­cy under reg­u­lar review.

How­ev­er, this does not affect your right to lodge a com­plaint with a super­vi­so­ry body (Infor­ma­tion Com­mis­sion­er’s Office) regard­ing the way your data is handled.
